How to organise home videos without Plex

Media servers like Plex, Jellyfin and Emby are brilliant at films and TV. They match each file against an online database and fill in posters, cast and descriptions. Home videos have none of that. A clip called VID_20220917_142210.mp4 won't match anything, so it shows up as a grey tile with a meaningless title, often in a library you can only browse folder by folder.

The good news is that home videos don't need a database. They need three things: a sensible folder structure, readable names, and a way to filter by date. This guide covers all three with free tools, then shows how SceneSort Pro handles them in one place.

Step 1: Collect everything first

Before you organise, gather. Home video tends to live in many places at once:

• phone backups (Google Photos or iCloud exports, or a phone plugged in over USB);
• camera and action-cam cards, often copied in whole folders like DCIM\100GOPRO;
• old laptops and external drives;
• a NAS or shared family drive.

Copy (don't move) everything into a single staging folder such as D:\Video\_Inbox, one subfolder per source. Keep the originals until you've finished and checked the result.

Step 2: Remove the duplicates

If several family members backed up the same phone, or you exported clips to share, you'll have the same footage more than once, often at different sizes. Step 3: Choose a folder structure

For home video, date-first almost always wins, because "when" is how people remember things. Two structures that work well:

Home Video\2024\2024-03-01 Mia's birthday\
Home Video\2024\2024-07 Queensland holiday\

or, if you think in events and people more than years:

Home Video\Holidays\2024 Queensland\
Home Video\Birthdays\Mia\2024\

Rules that save pain later:

• Dates as YYYY-MM-DD so folders sort in order in every app.
• One event per folder. Easy to share, easy to back up.
• No deep nesting. Three levels is plenty.

Step 4: Rename files by date (free)

Phone and camera names already contain the date in most cases, just in an unreadable form. You can turn VID_20220917_142210.mp4 into 2022-09-17 14.22.10.mp4 with a regular expression:

1. Install Microsoft PowerToys and open PowerRename by selecting the files, right-clicking and choosing Rename with PowerRename.
2. Tick Use regular expressions.
3. Search for: ^VID_(\d{4})(\d{2})(\d{2})_(\d{2})(\d{2})(\d{2})
4. Replace with: $1-$2-$3 $4.$5.$6
5. Check the preview column, then click Apply.

Adjust the pattern for other cameras (for example PXL_ or IMG_). For files whose names carry no date, sort by Media created or Date created in File Explorer to work out when they were filmed. Our bulk rename guide has more patterns and a PowerShell option.

Once files are dated, add a few words for the clips that matter: 2022-09-17 14.22.10 first steps.mp4. You don't have to describe everything; the date does most of the work.

Step 5: Browse without a media server

With dates in folder and file names, plain Windows tools go a long way:

• File Explorer: switch to Large icons for thumbnails, or Details with the Length column added. Type a year in the search box to find dated files, or sort by the Media created column.
• VLC: drag a whole event folder into VLC to play it as a playlist.
• A media server, if you still want one on the TV: in Plex, add a library of type Other Videos pointing at your home video folder; in Jellyfin, use Home Videos and Photos. Clean folder and file names become the titles and groups you see, so the work above pays off there too.

• Keep at least two copies of family video on different drives, and ideally one off-site.
• Re-run a duplicate check after each big import.
